Manis Law are committed to protecting and respecting your privacy.
This policy (together with our terms and conditions) sets out the basis on which any personal data we collect from you, or that you provide to us, will be processed by us. Please read the following carefully to understand our views and practices regarding your personal data and how we will treat it.

All your data will be held and used in accordance with the Data Protection Act 2018 incorporating UKGDPR, the Data (Use and Access) Act 2025 and the Privacy and Electronic Communications Regulations and any relevant national laws that replaces them in whole or in part or updates or replaces laws relating to data protection.

Information you give us:
You may give us information about you when you make an initial enquiry regarding our services (including via email or telephone), make an enquiry via our website (including via the ‘Speak with one of our Immigration Lawyers’ contact form) and/or when you engage us to provide you with legal services and the types of information we collect in these circumstances are:
Contact Details: such as name, address, email address, telephone number;
ID Verification Details: such as a copy of your passport (including your passport number, date of birth, country of issue
Company Details: such as name, company number, shareholders, directors, beneficial owners and Persons With Significant Control;
Right to Work Details: such as details of your employment history and prospective employment;
Financial Details: such as details of your earnings, potential earnings, savings and investments;
Visa Application Details: such as details of your country of origin, travel details, family members and health conditions, criminal and personal history;
You may give us information about you by filling in forms on our site www.manislaw.com (our site). This includes information you provide when you use our site, participate in discussion boards or other social media functions on our site, [enter a competition, promotion or survey], , provide feedback and when you report a problem with our site. The types of information we collect in these circumstances includes:
Contact Details: such as your name, address, e-mail address and phone number,

Personal Identification Details: such as a description of yourself and photograph

Information we receive from other sources
When processing your visa application we may receive information from other sources such as [ID verification platforms, healthcare providers, potential employers, internet searches] and in these circumstances the types of information we collect in these circumstances includes:
Verification Details: such as confirmation of your country of origin, criminal record etc.
Employer Details: such as details regarding previous and future employers, work history, skills, qualifications and experience and conduct and performance record;
Healthcare Providers: such as records from your doctor or healthcare facility or vaccination provider etc.;
Publicly Available Details: in certain circumstances such as a Global Talent visa application we may need to conduct internet searches regarding your skills and work history.
We are also working closely with third parties (including, for example, business partners, sub-contractors in technical, payment and delivery services, advertising networks, analytics providers, search information providers, credit reference agencies) and may receive information about you from them.
Special Category Data
As part of us providing you the services we will need to collect and process Special Category Data. This is data that relates to your racial or ethnic origin; your political opinions; your religious or philosophical beliefs; your trade union membership; your genetic data; your biometric data (where used for identification purposes); your health; your sex life; and your sexual orientation.
In the first instance we will collecting and processing this personal data in order to be able to provide you with our services, as these types of personal data are necessary for visa applications.
However, as the additional condition for collecting and processing such Special Category Data we will also be asking for your consent. We will do this by [including a tick box on our Engagement Letter, asking you for this consent].
Please note that we will be unlikely to be able to process the visa application on your behalf without such consent.

Uses made of the Information
We use information held about you in the following ways:
to carry out our obligations arising from any contracts entered into between you and us and to provide you with the information, products and services that you request from us;
to onboard you as a potential new client;
to manage our ongoing relationship;
to process payments from you [and to hold money on account]
to apply for a UK visa on your behalf;
to provide you with legal updates and other ‘knowledge share’ and communications (including notifying you of changes to law that may affect you);
to monitor our customer service;
to recommend other services that may address your business needs;
to manage any queries and complaints;
to provide you, or permit selected third parties (further details of whom are set out in the ‘Disclosure of your Information’ section below), with information about goods or services we feel may interest you. As part of this we will only contact you by electronic means (e-mail or SMS) with information about goods and services similar to those in which you have shown an interest, and you will be given an option to unsubscribe with each communication. If Manis Law Limited or substantially all of its assets are acquired by a third party, in which case personal data held by it about its customers will be one of the transferred assets.

Where we Store your Personal Data
We aim to be paperless and therefore we use well-known systems such as Microsoft 365 or Google Suite to help protect your personal data.
We ensure that we and the third party services providers we use employ industry standard cybersecurity measures to ensure that your personal data is kept safe and secure.
Should we have any physical copies of your personal data we ensure it is kept securely within our premises and is kept in a locked filing cabinet in a locked office, that has limited access (to only those employees and contractors who have a legitimate need to access your personal data).
We also ensure that our employees, freelancers, contractors and service providers fully understand their obligations to keep your personal data secure and confidential and that they have signed contracts with suitable confidentiality and data processing provisions.
Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.
Transfer of your personal data outside of the UK
To the extent that any of your data is provided to third parties outside the UK, or accessed by third parties from outside the UK, we will ensure that appropriate safeguards are in place in accordance with UKGDPR.
These safeguards incule ensuring that there is an ‘Adequacy’ decision in place or the Information Commissioner’s Office standard International Data Transfer Agreement.
As part of this we will carry out a Transfer Risk Assessment to ensure that the risks of the transfer of your personal data outside of the UK are minimal.
How Long we Hold your Information
We will only retain your information for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting or reporting requirements. The criteria that we use to determine retention periods will be determined by the nature of the data and the purposes for which it is kept, the sensitivity of the data and the potential risk of harm from unauthorised use or disclosure.
We will keep your personal data relating to you client file (including details of the matters we worked on, your payment data and your identification documentation) for at least six years after the end of our provision of services to you.
We will keep personal data relating to your visa application for 7 years after your application (whether or not is was successful).We keep your personal data on our client relationship management database for as long as you have engaged us to provide you with our services, save that, if you have opted out of or unsubscribed from receiving marketing and promotional materials we will delete the relevant personal data as requested.
Your Rights
You have certain rights in relation to the personal data that we hold about you. Details of these rights and how to exercise them are set out below. Please note we will require evidence of your identity before we are able to respond to your request.
Right of Access. You have the right at any time to ask us for a copy of the personal information that we hold about you and to check that we are lawfully processing it. Where we have good reason, and if the GDPR permits, we can refuse your request for a copy of your personal information, or certain elements of the request. If we refuse your request or any element of it, we will provide you with our reasons for doing so.
Right of Correction or Completion. If personal information we hold about you is not accurate or is out of date and requires amendment or correction you have a right to have the data rectified or completed.
Right of Erasure. In certain circumstances, you have the right to request that personal information we hold about you is erased e.g. if the information is no longer necessary for the purposes for which it was collected or processed or our processing of the information is based on your consent and there are no other legal grounds on which we may process the information.
Right to Object to or Restrict Processing. In certain circumstances, you have the right to object to our processing of your personal information. For example, if we are processing your information on the basis of our legitimate interests and there are no compelling legitimate grounds for our processing which override your rights and interests.
You may also have the right to restrict our use of your personal information, such as in circumstances where you have challenged the accuracy of the information and during the period where we are verifying its accuracy.
Right of Data Portability. In certain instances, you have a right to receive any personal information that we hold about you in a structured, commonly used and machine-readable format.
In such circumstances, you can ask us to transmit that information to you or directly to a third party organisation.
While we are happy for such requests to be made, we are not able to guarantee technical compatibility with a third party organisation’s systems. We are also unable to comply with requests that relate to personal information of others without their consent.

Right to Withdraw Consent
In the limited circumstances where you may have provided your consent to the collection, processing and transfer of your information for a specific purpose, you have the right to withdraw your consent for that specific processing at any time. You can do this by contacting us using the details in the ‘Contact’ section below.
Once we have received notification that you have withdrawn your consent, we will no longer process your information for the purpose or purposes you originally agreed to, unless we have another legitimate basis for doing so in law.
